Terms and Conditions for Surrey Trek and Run Trail Running Events

The Shere 42k 21k and 10k takes place outdoors and can be in a wild, challenging and potentially remote landscapes and are subject to all weather conditions with unexpected circumstances, making it inherently challenging and therefore potentially risky by nature. All participants must be above 16 years of age to take part.

By entering the event and participating all participants accept that it is their responsibility to keep themselves safe. They understand that the event organisers, crew and medical cover will not always know their location during an event, and accept that it is their responsibility for ensuring the event organisers/medical services know their location if an incident occurs hence the need for GPS devices if possible or by using What3Words which is an app you can download to your phone.

It is the participants responsibility to ensure they are capable, fit and well to participate in any event. If they have already started the event and feel unwell or have any issues they must stop immediately and call for assistance.  As a participant, they acknowledge that the courses can be remote and that the event medical cover, event crew, marshals and emergency services may take time to reach them.

Participants should have adequate medical insurance for the event. It is the participants responsibility to take out suitable personal insurance cover for their participation in this event.

If a participant retires from an event, they accept that it is their responsibility to immediately inform the event director either in person or in confirmed communication to the event director via a member of the event crew and where possible to only retire from the event at a checkpoint or water station set up for the event.

Arriving at the event in good time is the participants responsibility and participation in the event may be denied if they do not arrive within the publicised time for the event, therefore missing registration and the race briefing which includes safety information regarding the event.

Circumstances beyond the control of the organisers may cause the event to be modified, postponed or relocated. If access to the planned course is restricted for any reason an alternative route will be used.

If the event has to be postponed for any reason, Surrey Trek and Run will endeavour to arrange an alternative event and participants will be notified of the new date and venue of the rearranged event.

Participants can only be offered a full refund one week after booking.

These terms and conditions will continue to apply to the rearranged event. A 75% refund will be given if you cannot make the rearranged event date.

If circumstance outside of our control or an ‘act of god event’ (eg flooding, wild fire, storm, epidemic, Local/National guidelines etc) mean that an event has to be cancelled, participants will receive a refund of the event entry fee minus a 50% deduction to cover administration & event costs.

Any personal belongings/bikes brought to an event are left entirely at the participant’s own risk – including in designated bag drop areas. Participants are advised to bring only necessary valuables to events and leave them securely locked in their car or in an agreed place/scenario with the event director for the duration of the event.

Surrey Trek and Run are not responsible for any third party organisations that may provide other services at the event, participants use these services at their own risk.

Participants agree to photographs and video being taken at the event and that any images may be used without cost by any media regarding the event and to market and advertise the event or any other similar events. Copyright in this website, its design, imagery and contents is owned wholly by Surrey Trek and Run (Trek Hire UK Ltd.)

This website or any portion of this website may not be reproduced, duplicated, copied, sold, resold, visited, or otherwise exploited for any commercial purpose without our express written consent.

By entering the Shere 42k, 21k and 10k participants agree to any contact data they provided being used by Surrey Trek and Run in accordance with the Privacy Policy (below).

All participants are to abide by the rules and conditions of the event and to follow instructions issued by the event crew. Surrey Trek and Run reserves the right to remove, disqualify and ban any participant from current and future events for knowingly flaunting the rules, behaving in an unsporting way, being disrespectful, discourteous and rude to fellow participants, event crew, general public and defacing/littering the natural environment.

All routes may cross or use public roads for part or parts of the race route as directed by the event crew or event signage and markings. These public roads will not be closed to traffic and participants accept and agree it is their responsibility to cross, join and use safely any public road or potential vehicle contact point in any event and that they do so at their own risk. Car parking of vehicles and traffic movement in car parks and crossing any roads in or near event venues is entirely the responsibility of participants.

Each and every participant shall fully assume the risks associated with participation in Surrey Trek and Run events, including but not limited to the following dangers; exhaustion, collision with pedestrians, collision with vehicles, road crossings, other participants and fixed or moving objects, sliding down hills, falling rocks, dangers arising from other surface hazards, equipment failure, weather conditions, animals, the possibility of physical and or mental trauma and injury including death.

Participants must fully understand the dangers of taking part in the Shere 42k, 21k and 10k and acknowledge that there are more hazards than are highlighted here, and that there are unknown and unforeseeable hazards, and engage in the event with knowledge of the inherent risks of injury.

By entering The Shere 42, 21k and 10k participants agree to these terms and conditions and understand the risks involved in the event and have read, understand and accept the terms of this waiver and release agreement.

Participants agree that they participate in the event at their own risk, therefore each and every participant, their heirs and executors, waive, release and forever discharge Trek Hire UK Ltd (Surrey Trek and Run) and all other persons associated with the event, from any liabilities, claims, actions, or damages the participant may have arising out of or in any way connected with their participation in any event.


Privacy

Participants personal details are not shared or disclosed by Surrey Trek and Run to any third parties. Participants email addresses may be used to send a monthly update, event news or any other news about Surrey Trek and Run. Recipients can request to be removed from the mailing list by clicking to ‘un-subscribe’ on any emails (except information regarding their up coming race).

Surrey Trek and Run will hold participants medical details and will have them at the race as part of our safety plan to keep participants safe and looked after in the event of an emergency. These are destroyed after the race has taken place.

Surrey Trek and Run does not handle or receive participants payment details. All event entries are made online via our chip timing company Race Timing Solutions through their payment gateway Stripe.
